Let’s break down how Retriever works. Retriever is divided in several columns but first we will focus on the calendar above. Important note: All information shown is being pulled directly from your PIMS, and there is a 20-minute buffer/sync time for any updates or changes
Retriever's calendar function draws its data directly from the PIMS (Patient Information Management System), ensuring accuracy. It serves as a visual aid for staff members, providing essential details when calls come in. However, it's important to note that the calendar is designed for reference purposes only, and doesn't allow editing, addition, or removal of information.
The arrow beside the date allows users to easily navigate and view appointments before or after the current date, enhancing usability and efficiency.
The 'Events' tab in our app presents a comprehensive overview of client interactions.
The phone icon color coding offers quick insights: green for inbound calls, blue for outbound, and red for missed/unreturned calls. Some missed calls may be marked as 'Call returned,' and include the call time.
The DID column details the relevant extension involved and what number they answered/called.
The Pet Parent column shows client names with IDs for quick reference. Clicking an ID copies it for PIMS use. If it displays "Unavailable," the caller is not in your PIMS database.
The Pets column lists client-linked pets with hover descriptions and includes additional pet information, such as Breed, Sex, species, Spay/Neuter. You will also see deceased pets listed and identified by a strike through the name. Clicking the three dots next to some pet names reveals all pets under the client's account.
The Contact Info column provides email and phone details from the PIMS.
Call column displays the time when the call happened.
Recording column allows playback or download of the call via the play button.
The Appointment column displays the last and next appointments found for the pet .
Icons in the Status column convey key information: an exclamation mark on an envelope signifies a missing email, a house icon indicates a missing address, a calendar symbolizes an upcoming appointment and a money bag denotes a pending balance.
The Follow-Up column serves as a reminder: clicking the box marks tasks, and clicking again unmarks them, aiding efficient task management and availability to follow up with clients. Please Note: this is local to browser, meaning only person who clicked it will see it clicked.
The SMS column contains contacts sourced from your PIMS, displaying client names and associated numbers. Searching by first/last name or phone number is supported, even for numbers not in the PIMS. Messages can be filtered by status: unread, answered, or not answered.
Clicking a conversation opens a new chat window, enabling messaging and emoji use.
The '+' sign lets you craft universal templates, personalized with options like names, appointments, date, email, and more. Preview messages before saving templates.
Adjacent to 'Events,' the 'Unconfirmed' and 'No show' tabs showcase appointments marked as such in your PIMS, providing straightforward insight into appointment status.
